Morning
An enquiry comes in
The booking desk checks the availability calendar and reserves a vehicle and, where needed, a driver.
Coming soon Automotive & Mobility
No vehicle can be reserved twice for overlapping dates. A condition check with photos exists at issue and return, a security deposit stays a liability until it is returned or deducted, and per-vehicle profitability is a real report.
A working day
Morning
The booking desk checks the availability calendar and reserves a vehicle and, where needed, a driver.
On issue
The odometer, fuel level and condition are recorded with photos before the vehicle leaves.
During the trip
The vehicle is on hire, whether self-drive or with a driver, for the day, the week or the month.
On return
Odometer, fuel and condition are checked again, and any damage is noted against the deposit.
Evening
The invoice covers the rate, any overage and extras, and the deposit is refunded or adjusted.
What goes wrong today
A paper diary is the one place every small rental firm makes this mistake, usually discovered at the worst moment.
Without a condition check at issue and return, a scratch found later has no record to settle who is responsible.
A security deposit that isn't kept apart from income risks being spent before it needs to be refunded.
A monthly bill built from memory instead of the trips actually raised is hard to defend if it is questioned.
What it does
Parts marked Coming soon are on the way; founding shops get them first, at no extra charge.
Planned: the availability calendar refuses to reserve the same vehicle for overlapping dates.
Planned: a chauffeur-driven trip books the vehicle and its driver together, not as two separate bookings.
Planned: photos at issue and return, and a security deposit that stays a liability until it is returned or deducted.
A monthly corporate contract can be billed on account, with open invoices and ageing behind the balance.
Vendor bills for servicing and insurance are tracked as open items, the same engine as any other supplier bill.
Planned: the booking desk keeps taking reservations through an internet outage, through a small on-site relay hub.
Who uses it
Booking desk
an availability calendar that will not let two customers book the same car
Driver
a simple way to log the condition and readings at the start and end of a trip
Accounts
a corporate invoice that matches every trip raised, and a clear deposit-refund record
Owner
fleet utilisation and revenue per vehicle, not a feeling about which car earns its keep
